Sometimes it’s a simple cosmetic makeover to make a feature easier to use and sometimes it’s an all-new addition or expansion that opens up new possibilities for your PR activities.
Given how much we’ve added and changed over the past few months, we thought it was a good time to summarize everything that’s shiny, new and improved about our application and the many ways it can be used. Creating and sending great PR campaigns has never been easier and these improvements to Prowly will help make your work as a PR pro even more effective, productive and hassle-free.
Here’s what we’ve added, changed, redesigned and turbocharged since the beginning of the year.

Creating and sending great PR campaigns has never been easier and these improvements to Prowly will help make your work as a PR pro even more effective, productive and hassle-free.
Here’s what we’ve added, changed, redesigned and turbocharged since the beginning of the year.
Media Monitoring updates
Knowing who’s talking about you, where and in what context is key to modern communications. Here’s what’s new in our media monitoring feature:
- Keyword types. Get better, more precise search results by using keywords to focus what you’re looking for. Increase the relevance of your search by using one of our five new keyword types: Person, Product, Location, Organization, Any context.
- Unusual spike alerts. Get an alert whenever there’s a spike in activity around a search term. Looking for what might go viral? Tracking the results of a campaign? Use spike alerts to help keep your finger on the pulse of what’s going on.
- Data Exports. You can now export mentions from a search query, with or without filters, to a CSV or XLSX file. This update will help you present campaign results and share statistics about media coverage or, for example, easily show the top mention URL. Each file will contain the same information you can see on the right hand side of your mention inside of Prowly, such as reach, sentiment or domain rank.
- Tiers. You can now group mentions from specific outlets based on their importance and view the data in your dashboard. This filter is particularly useful if your campaign’s goal was to be featured in a specific outlet or if you want to see the number of articles from the outlet of your choice. Additionally, you can also set up an alert to get an email once an outlet added to Tiers publishes an article with your mention. You can narrow it down with more relevant filters as well.
- Top mentions. This new widget will help you see the most important top-10 mentions for your search queries. The result can be based on one of the PR relevant metrics available, such as AVE, domain authority score, domain reach, domain rank or estimated reach. By setting up the top mention widget, you’ll be able to view your dashboard and immediately see which coverage is providing the best results from your PR activities.
Email updates
The backbone of your communications outreach, the experience of using email in Prowly is more intuitive and easier than ever thanks to these updates:
- Mailbox integration feature. You can now integrate your mailbox to Prowly to manage and monitor all of your communications with the media. This allows you to nurture relationships with your media contacts and keep the entire conversation history in one place.
- Customized follow-up emails. Keep the conversation going with follow-up emails sent to your media contacts straight from Prowly. No need to exit the app or cover your desk with reminders to follow up with this or that journalist — keep it all organized in one place.
- Email notifications and reminders. Notifications are now enabled by default. From now on, whenever you schedule an email, you'll receive a reminder 1 hour before it goes out. You will also receive a summary of its results after 2 hours, or an instant notification if its status changes to rejected. This way, you will never miss an important deadline or an email pitch that needs your attention. You can also expect a weekly pitch summary in your inbox with the number of sent emails, total recipients, and more detailed statistics (including open and click rates) of your two biggest email pitch campaigns.
Press release updates
This is what it’s all about — creating and sending press releases that get results. Now the entire process has been streamlined even further thanks to these changes:
- Importing from Word to Prowly. You can finally enhance the content creation process by importing your press releases from Word, and leave awkward copy-pasting behind. Just select the Upload DOCX file option, then choose your press release you want to upload. Prowly will automatically fill the creator with your press release content, so you can edit it further in any way you want.
- Media contact recommendations based on the content of your press release. We now offer contact recommendations generated from the contents of your press release. This lets you save time on media research and be confident that you're reaching out to the most relevant people to your story. From now on, for press releases in English, you’ll find a set of contact recommendations from Prowly’s Media Database. This is a great shortcut to creating targeted media lists by getting suggestions on which journalists and outlets are likely to be interested in your content. It can provide you with better open and click rates and also increase your media coverage opportunities.
CRM updates
From now on, you can use Prowly’s improved PR CRM to enhance press contact management, nurture media relations, and ease team collaboration with these new updates:
- Add notes about your contact - write down important events, birthdays, hobbies, or anything of interest that comes up when talking to your media contacts.
- Log phone calls, emails, or meetings and comment on them to keep track of your interactions.
- Join the discussion in threads and exchange insights with your team members via comments (for a faster response, don’t forget to mention them in your notes and tasks!) to work together on media relations management.
- Set reminders for yourself to know when to get in touch with certain media contacts or follow up on your pitch.
- Log phone calls, emails, or meetings and comment on them to keep track of your interactions.
- Get email notifications with your reminders, or any new mentions, comments, and edits in threads you’re following.
- Have an overview of events, calls, and messages shared with your media contacts.
- Keep an eye on open & click rates to see how specific media contacts interact with your email pitches.
Media Database updates
Your media contact database is your own personal PR gold mine. Keep it in good order and up-to-date with these new upgrades:
- No more “not available” contacts - We have excluded media contacts that are currently being updated from the search results. That means you won't have to browse through contacts that you can't pitch. This also drastically boosts the performance of Media Database, so you can spend more time on optimizing media lists and doing outreach instead.
- Internal tests of media contacts - Once a contact in our Media Database is bouncing messages, we investigate the reason behind it and “hide” them in the search results until the issue is resolved. It's another way of keeping your sender reputation and delivery rates high.
- Hidden duplicates - If there are a few media contacts with the same email address, from now on we show only the ones with the most complete data profile. This update makes search results appear quicker and prevents browsing through the same contacts during the research.
- Adding contacts to your own media lists - Right now, you can select multiple journalists in the Media Database and add them straight to an existing or new media list. After finalizing the action, you will be clearly informed about the changes in your current limits.
- Access to the Media Database - To make your journey in the app quicker and more comfortable, you can now access the Media Database directly from the left-side navigation menu bar, under the compass icon. This way, you only need to click it once to see the search field and provide a query.
